INTRODUCTION, PURPOSE AND SCOPE

1. INTRODUCTION

The Institution expects every student to maintain punctuality, discipline, personal safety, professional appearance and respect for the academic environment. These System Rules consolidate the principal requirements relating to college timings, dress code, laboratory and workshop attire, identity cards, prohibited articles, leave applications and parent communication.

2. PURPOSE

To communicate clear and uniformly applicable student rules that support orderly academic functioning, laboratory safety, responsible conduct and timely communication between students, parents and the Institution.

3. SCOPE

All students of the Institution, including day scholars and hostel residents, while on campus, in laboratories and workshops, travelling in college transport, attending institutional activities or representing the Institution outside the campus.

  • Promote punctuality, discipline and uninterrupted academic activity.
  • Ensure safe and appropriate dress in classrooms, laboratories and workshops.
  • Require visible institutional identification and responsible conduct.
  • Establish clear procedures for student leave and parent communication.
  • Prevent prohibited, unsafe or disruptive practices on campus.

POLICY FRAMEWORK

5. GUIDING PRINCIPLES

  1. Rules shall be applied fairly, consistently and without discrimination.
  2. Student safety, dignity and academic continuity shall guide implementation.
  3. Students and parents shall communicate honestly and promptly regarding absence or emergencies.
  4. Laboratory and workshop safety requirements are mandatory and take precedence over convenience.
  5. Corrective and disciplinary action shall be proportionate and follow due process.

6. GENERAL POLICY COMMITMENT

The Institution shall implement this policy through approved roles, adequate resources, documented procedures, transparent communication and measurable review. Decisions and exceptions shall be recorded and authorized by the competent authority.

Interpretation: This policy shall be read with applicable laws, statutory regulations, autonomous academic regulations, service rules and approved institutional procedures. Where a conflict arises, the higher legal or statutory requirement shall prevail.

SYSTEM RULES

7.1 COLLEGE TIMINGS

  1. College timings are from 8.15 a.m. to 3.00 p.m.
  2. Students are not permitted to enter the college campus after 8.15 a.m. and are not allowed to leave the campus before 3.00 p.m. without authorization.
  3. During college hours, visitors shall not meet students except with prior permission from the competent authority.

7.2 GENERAL DRESS CODE

  1. All students on campus shall be neatly and appropriately dressed.
  2. Boys shall wear self-coloured formal trousers with shirts neatly tucked in.
  3. Boys shall wear formal leather shoes. Sports shoes and slippers are not permitted as regular classroom attire.
  4. Girls shall wear Salwar Kameez with a V-shaped dupatta pinned securely on both shoulders.
  5. Any additional programme-, laboratory- or safety-specific dress requirement notified by the Institution shall be followed.

7.3 LABORATORY AND WORKSHOP DRESS REGULATIONS

7.4 IDENTITY CARD

Each student shall be issued an Identity Card containing the student’s name, photograph and relevant institutional particulars. The Identity Card shall be worn visibly within the campus and while travelling in college transport.

7.5 PROHIBITED OR RESTRICTED ITEMS AND PRACTICES

  1. Smoking, tobacco use and other prohibited substances are not permitted anywhere on the college campus.
  2. Students shall not carry or use mobile phones on campus unless specific written permission is granted for an approved academic or institutional purpose. Violation may attract disciplinary action.
  3. Students are advised not to wear or carry costly gold ornaments or other valuables on campus. The Institution shall not be responsible for personal valuables kept without authorization.

LEAVE REGULATIONS

7.6 ONE-DAY LEAVE

For medical leave, a leave letter signed by the parent shall be submitted. A medical certificate shall be enclosed wherever required by the Institution.

7.7 TWO-DAY LEAVE

Students shall follow any one of the approved communication methods below and subsequently submit the required leave documents:

  • Submit the leave letter with the parent’s signature on the previous working day; or
  • Arrange submission of the signed leave letter on the first day of absence through an authorized person; or
  • Request the parent to inform the office or the respective attendance in-charge by telephone or another approved communication channel.

For medical leave, the signed leave letter shall be supported by a medical certificate wherever required.

7.8 THREE DAYS OR MORE

For a family function, medical condition or another reason requiring leave for three days or more, the parent shall meet the respective attendance in-charge or competent authority in person and obtain approval. Supporting documents may be required. Failure to follow the prescribed procedure may attract action under the attendance and disciplinary regulations.

7.9 GENERAL LEAVE CONDITIONS

  1. If leave taken by a student exceeds six days in an academic year, the case shall be reviewed seriously, in addition to the applicable minimum-attendance requirements.
  2. When the Institution sends an official communication regarding leave, attendance or disciplinary concerns, the parent shall meet the Principal or designated authority in person when requested.
  3. Unrelated persons shall not represent the student in such matters. All leave letters, medical certificates, permissions and hostel-related requests shall be addressed to the Principal through the prescribed institutional channel.
  4. Students shall obtain prior permission before absenting themselves from class, except in genuine emergencies. Unauthorized absence may lead to parent communication and appropriate action.
  5. Nothing in these rules overrides the minimum attendance and examination eligibility requirements prescribed in the applicable academic regulations.

  • Students shall know and follow these rules and all safety instructions issued by faculty and staff.
  • Parents or authorized guardians shall provide accurate and timely information regarding student absence or emergencies.
  • Class advisers, mentors and attendance in-charges shall maintain attendance and leave records and communicate significant concerns.
  • Heads of Departments and Student Affairs shall ensure consistent implementation and address repeated violations.
  • The Principal or designated authority shall decide serious, exceptional or disputed cases through due process.

  1. The student or parent communicates the request through the approved channel.
  2. The responsible faculty member or attendance in-charge verifies the request and supporting documents.
  3. Approval, rejection or further clarification is recorded and communicated.
  4. Attendance and leave records are updated without altering the original supporting documents.
  5. Repeated absence or misconduct is escalated to the mentor, HOD, Student Affairs and Principal, as applicable.
Escalation: Delays, control failures, safety concerns, suspected misconduct or non-compliance shall be escalated through the designated reporting hierarchy without suppressing or altering records.

12. CONFIDENTIALITY, RETENTION AND ACCESS

Records shall be accurate, retrievable and protected against unauthorized alteration, disclosure or destruction. Access shall be role-based and limited to legitimate institutional need. Retention and disposal shall follow the approved schedule and applicable requirements.

13. NON-COMPLIANCE

Non-compliance may result in corrective action, withdrawal of access or benefit, recovery of loss, disciplinary action, referral to a statutory body or other proportionate action after due process.

14. REVIEW AND AMENDMENT

The policy owner shall review this document at the stated cycle or earlier due to changes in law, regulation, institutional structure, technology, risk, audit findings or stakeholder requirements. Amendments shall take effect only after approval and version control.
