User Terms and Conditions

Faculty / Staff Application Portal · Version VTHR-PRIVACY-2026-07-R6-GUEST-GOOGLE

1. Acceptance of terms

These terms govern use of the public recruitment application portal. By submitting an application, the applicant agrees to these terms, the Applicant Privacy Policy and the declarations displayed in the form.

2. Permitted use

The portal may be used only by genuine applicants to submit their own employment application to the institution. Automated submissions, scraping, testing without authorization, impersonation, bulk applications, spam, malicious uploads and attempts to bypass security controls are prohibited.

3. Accuracy and completeness

The applicant must provide true, complete and current information. Educational, employment, salary, identity, professional and reference details must not be falsified, altered or intentionally omitted where the omission would be misleading.

4. Programme selection

Applicants may select more than one programme or department from the approved list displayed in the form. The displayed values use the exact approved program_master programme names. Free-text, abbreviated, altered or unapproved programme names are not accepted. Selection of a programme preference does not create a right to be considered for every selected programme.

5. Documents

Uploaded documents must be genuine, readable, relevant and lawful. Applicants must not upload executable files, malicious content, documents belonging to another person without authority, or unnecessary sensitive information. The institution may request originals or additional documents for verification.

6. Certificate requirements

SSLC and HSC certificates may be optional in the online application. A supporting certificate is compulsory for every Diploma, UG, PG, M.Phil., Ph.D. or PDF qualification entered. Failure to provide required evidence may prevent submission or affect evaluation.

7. Recruitment discretion

Submission of an application does not guarantee acknowledgement beyond the generated application number, shortlisting, interview, selection, appointment, salary acceptance or communication from the institution. The institution may determine eligibility, verify claims, seek clarification, reject incomplete or unsuitable applications, and close or modify recruitment requirements.

8. Communication

The institution may communicate through the email address or phone number provided by the applicant. The applicant is responsible for entering working contact details and monitoring communications.

9. Verification and references

Where authorized by the applicant or otherwise reasonably required for recruitment, the institution may verify qualifications, experience, identity, professional registration and references with the relevant persons, employers, institutions or official bodies.

10. Guest entry and optional Google Sign-In

The application form provides two entry methods on the same page. Continue as Guest is selected by default. Google Sign-In is optional and is provided only to verify an applicant’s name and email identity. A guest applicant must enter an active email address and remains responsible for its accuracy.

Selecting the Sign in with Google button constitutes the applicant’s affirmative consent to the Google identity processing described in the Privacy Policy and these Terms. Each successful Google Sign-In is saved immediately in the recruitment database, including a registration that is not followed by application submission. The saved record may include the verified name, verified email, Google account identifier, consent version, sign-in time and privacy-protected technical audit values. The institution does not request or store the Google password, Gmail messages, Google Drive files, contacts, access token or authorization to use other Google services.

The applicant may return to guest entry before submission. A Google identity is linked to the final application only when Google entry is selected at submission. Previously saved, consented Google registration events remain part of the restricted recruitment security and audit record.

11. ORCID and Scopus identifiers

An applicant may optionally provide an ORCID iD and/or Scopus Author ID. When either identifier is provided, the applicant must give the separate consent permitting only HR, Admin and Principal to open the corresponding public profile and retrieve, display and temporarily cache public profile, publication and citation metadata through official provider services for recruitment and research-credential verification. Applicants must provide only their own identifier. The institution does not request applicant passwords, applicant account credentials or applicant OAuth tokens and will not edit the applicant’s ORCID or Scopus account. Provider API access is configured institutionally and remains subject to ORCID and Elsevier terms, quotas and entitlements.

The applicant acknowledges that authorized reviewers may classify and confirm publication counts, Scopus profile metrics and verification remarks in the recruitment database. A provider result is supporting information and not automatic proof of authorship, indexing or eligibility; the institution may request documents or clarification before treating a count as confirmed.

12. Privacy and restricted data use

Application data will be used only for recruitment, HR administration, authorized educational or institutional purposes, statutory requirements and related verification. It will not be sold, used for advertising, marketing, commercial profiling or lead generation, or shared for unrelated commercial or business purposes. The public form does not require advertising trackers. The full conditions are stated in the Applicant Privacy Policy.

13. Security and availability

The applicant must not attempt to defeat CAPTCHA or human-verification controls, rate limits, CSRF protection, file restrictions or access controls. The institution may block suspicious activity. Temporary interruption, technical error or maintenance may occur, and applicants should retain their application number after successful submission.

14. Duplicate and abusive submissions

Repeated, automated or abusive submissions may be limited or blocked. Applicants should submit a fresh application only when genuinely required and should not repeatedly resubmit the same information to force processing.

15. False or misleading information

False, forged, altered or misleading information may result in rejection, withdrawal of an offer, termination after appointment, or referral to the appropriate authority where required.

16. Governing institutional process

Recruitment will be governed by the institution’s applicable policies, eligibility requirements, selection procedures and lawful directions. Where these portal terms conflict with a mandatory legal or regulatory requirement, the mandatory requirement will prevail.

17. Changes to terms

The institution may revise these terms. The version accepted at the time of application will be recorded with the application.
