Acceptance of Terms
These Terms of Service and User Agreement govern access to and use of the digital services operated or authorized by Vel Tech High Tech Dr. Rangarajan Dr. Sakunthala Engineering College (“Institution”, “we”, “us”, or “our”).
By signing in, accessing, browsing, submitting information, uploading a document, or otherwise using the Services, you confirm that you have read and agree to follow these Terms and all applicable institutional rules. A parent or lawful guardian may be required to provide or support consent where the user is a minor and where such consent is required.
If you do not agree with these Terms, you must not use the Services.
Services Covered
These Terms apply to the VEL AI Portal, Bonafide Generation System, institutional dashboards, LMS and mentoring functions, event and approval workflows, student and faculty services, and other modules made available through velhightech.com/login.php or connected institutional systems.
Separate systems, including the Vel Tech Clique Portal, may have additional instructions or conditions. Where a specific module displays additional rules, those rules apply together with these Terms.
User Accounts and Security
- Institutional users: Students, faculty, staff, and authorized officers must use their assigned institutional identity and permitted login method.
- Confidentiality: Users are responsible for protecting passwords, OTPs, recovery information, and active sessions. Credentials must not be shared.
- Accurate profile information: Users must promptly report incorrect department, batch, contact, or identity details to the appropriate institutional office.
- Unauthorized activity: Users must immediately notify the administration or IT Department if they suspect unauthorized access or misuse.
- Public users: Public access is limited to general institutional information and functions expressly made public.
Attempting to access another person’s account, records, documents, marks, attendance, profile, or approval workflow is prohibited.
Acceptable Use Policy
Users must use the Services only for lawful, academic, administrative, and institutionally authorized purposes. Users must not:
- Use abusive, threatening, discriminatory, sexually explicit, defamatory, or deliberately disruptive language.
- Submit fraudulent, forged, manipulated, or misleading information or documents.
- Attempt to obtain personally identifiable information, credentials, records, or confidential data relating to another person.
- Upload malware, exploit code, scripts, or files intended to damage, probe, overload, or bypass security.
- Attempt DDoS activity, SQL injection, cross-site scripting, credential stuffing, scraping, automated enumeration, or any unauthorized security testing.
- Use the Services to violate intellectual-property rights, institutional policy, examination confidentiality, or applicable law.
- Misrepresent AI-generated output as an official institutional order, approval, certificate, mark statement, or decision.
The VEL AI system may use automated abuse controls, including warning or strike-based controls. Repeated or serious misuse may result in temporary restriction, including a 24-hour suspension where configured, or further disciplinary action.
Documents and User Submissions
Users are responsible for the accuracy, authenticity, legality, and relevance of information and documents they submit, including achievement proofs, certificates, photographs, applications, declarations, and requests.
- Only files required for the relevant institutional purpose should be uploaded.
- Documents containing unnecessary third-party personal information should not be uploaded.
- The Institution may verify submissions against institutional records or issuing authorities.
- Submission does not guarantee approval, issue of a certificate, award of credit, or acceptance of a claim.
- Fraudulent or altered submissions may be rejected and may lead to disciplinary or legal action.
Artificial Intelligence Limitations
The VEL AI Assistant uses generative artificial intelligence and institutional knowledge-retrieval mechanisms. AI responses are provided for guidance and convenience and may occasionally be incomplete, outdated, imprecise, or incorrect.
- Official admissions, fees, examinations, attendance, marks, certificates, service matters, and academic decisions are governed by records and communications issued by the authorized department.
- AI responses do not replace instructions from the Principal, Controller of Examinations, Accounts Department, Admissions Office, HOD, faculty, or other authorized officers.
- Users must verify material information before relying on it for deadlines, payments, eligibility, travel, examinations, or formal submissions.
Institutional Actions and Approvals
Requests submitted through the Services, including bonafide requests, event proposals, academic workflows, faculty or student submissions, and other approvals, are subject to review by authorized personnel.
The Institution may approve, return, defer, reopen, cancel, or reject a request when it is incomplete, unsupported, inaccurate, contrary to policy, outside the reviewer’s authority, or otherwise not acceptable. Portal acknowledgement or submission status does not itself constitute final approval.
Payments and Semester Registration
8.1 Authorized payment channel
Most institutional fee payments, including semester fees and other notified charges, must be made through the authorized Vel Tech Clique Portal or another payment channel formally communicated by the Institution.
The portal at velhightech.com/login.php does not collect, process, or receive payments. It must not be treated as a payment gateway.
8.2 Semester registration
Every student must complete the prescribed semester registration through the Vel Tech Clique Portal before entering or commencing a new semester. The process may include verification of programme details, course registration, applicable declarations, satisfaction of notified requirements, and payment of applicable fees through the authorized channel.
Failure to complete semester registration within the notified period may lead to restrictions on semester-related academic services in accordance with institutional and academic regulations.
8.3 Exceptional cash transactions
The Institution primarily follows digital and formally recorded payment methods. Cash may be accepted only in an exceptional or emergency situation, with authorization from the Accounts Department or Institutional Administration and against an official institutional receipt.
8.4 Payment safety
- Do not pay to personal bank accounts, personal UPI IDs, unofficial QR codes, unverified links, or unauthorized individuals.
- Payment confirmation, receipts, duplicate transactions, failed transactions, refunds, and fee disputes must be handled through the Vel Tech Clique Portal and the authorized Accounts Department.
- The Institution is not responsible for loss arising from payments made through unauthorized channels.
Intellectual Property
The portal design, software, institutional content, databases, logos, documents, workflows, and other materials are owned by or licensed to the Institution unless otherwise stated. Users may access them only for their authorized institutional purpose.
Users must not copy, publish, sell, reverse engineer, modify, distribute, or create derivative systems from protected portal content or software without written authorization. Rights relating to student or faculty innovations, research, publications, and incubated work are governed by the applicable institutional intellectual-property and research policies.
Availability and Changes to Services
The Institution aims to keep the Services available but does not guarantee uninterrupted or error-free access. Maintenance, security incidents, internet failures, third-party outages, upgrades, emergencies, or administrative requirements may temporarily affect access.
The Institution may add, modify, suspend, migrate, or discontinue a module and may change technical or access requirements when reasonably necessary.
Suspension and Termination
Access may be restricted or terminated for security reasons, account compromise, role change, completion or discontinuation of study or employment, abuse, fraud, breach of these Terms, or violation of institutional policy.
Where appropriate, the Institution may preserve relevant records and logs for investigation, audit, grievance handling, statutory compliance, or legal proceedings.
Disclaimer and Limitation of Liability
The Services are provided for institutional use. To the extent permitted by applicable law, the Institution is not liable for indirect, incidental, or consequential loss caused by user error, unauthorized payment, misuse of credentials, reliance on unverified AI output, third-party platform failure, or events beyond reasonable institutional control.
Nothing in these Terms excludes obligations or liability that cannot lawfully be excluded.
Governing Law and Jurisdiction
These Terms are governed by the laws of India. Subject to any mandatory statutory forum or remedy, disputes arising from use of the Services shall be subject to the jurisdiction of competent courts in Chennai, Tamil Nadu.
Changes and Contact
The Institution may revise these Terms to reflect service changes, institutional policy, security needs, or applicable law. The updated version will display its revision date on this page. Continued use after an update constitutes acceptance of the revised Terms to the extent permitted by law.
